Privacy Policy
Last updated: October 3, 2026
1. Introduction
Encore Studio ("we", "us", or "our") provides music-studio-management software to studios and their teachers, students, and families. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our websites, applications, and related services (collectively, the "Service").
2. Information we collect
We collect information you provide directly, such as your name, email address, studio details, scheduling data, enrollment records, documents you sign, and billing information. We also collect technical information automatically, including device and browser data, IP address, and usage information, to operate and improve the Service.
Payment card details are processed by our payment processor and are never stored on our servers. Authentication is handled by our identity provider; we do not store your password.
3. How we use information
We use the information we collect to provide, maintain, and improve the Service; to process transactions and send related communications such as invoices and receipts; to respond to support requests; to protect against fraud and abuse; and to comply with legal obligations. We do not sell your personal information.
4. Sharing of information
We share information only with service providers who help us operate the Service (such as hosting, payment processing, email delivery, and authentication providers), each bound by contractual confidentiality obligations; within your studio's workspace according to the roles and permissions its administrators configure; and where required by law or to protect our rights.
5. Mobile numbers and text messages
We use your mobile number to send text messages only after you opt in, and only to send the messages you agreed to receive. You can opt in to Encore Studio's own account and billing texts directly. A studio you're enrolled with can invite you to opt in to its own lesson reminders, schedule changes, invoice and payment notices, and studio announcements — through a link it emails you, its enrollment form, or your parent portal — and you can stop those messages, or turn them off again in your portal, at any time. Message frequency varies: typically 1–5 messages per month for account holders and 2–8 messages per month for families. Msg & data rates may apply.
We do not sell, rent, or share mobile numbers or text-message consent information with third parties, and we do not share them with other studios or use them for third-party marketing. Mobile numbers are disclosed only to the messaging carrier that delivers your message.
You can stop messages at any time by replying STOP, or get help by replying HELP. You can also turn text messages off in your account or portal settings, or email us at hello@encorestudio.app. Full details, including the exact consent language and how consent is collected, are on our SMS Consent & Opt-In Policy page.
6. Our mobile apps
The Encore Studio apps for iPhone and Android let families who already have an account with their music studio see their schedule, invoices, agreements, messages and announcements, and pay. Studios create these accounts; the apps have no sign-up of their own.
The apps use the same account information as the website: your name, email address and phone number, and the lessons, invoices, payments, agreements and messages your studio shares with you. In addition, the apps collect:
- A notification token, only if you allow notifications. It identifies your device to Apple's or Google's notification service so we can send you notices. We stop sending to it when you sign out, and delete it when you delete your account. You can turn notifications off at any time in your device settings.
- Crash and performance diagnostics, such as the app version, device model and what went wrong, so we can fix problems.
Notifications on your lock screen say only what kind of thing happened, such as “You have a new invoice.” They never include the text of a message, an amount, or a child's name.
If you sign in with Apple or Google, they share your name and email address with us, and an Apple private relay address works like any other. When you pay, the app opens our payment processor's secure page: your card details go to the processor and never reach us.
The apps do not collect your location, contacts, photos or browsing history. They show no advertising, and they do not track you across other companies' apps or websites.
Deleting your account. In the app, go to Profile, then Delete account; or follow the steps at encorestudio.app/help/delete-account. Deleting your account removes your login, its personal details, your notification tokens and, if you used it, Sign in with Apple's connection to Encore. Your studio keeps its own records of your family, invoices, payments, agreements and messages; ask your studio if you want those erased.
7. Data retention
We retain personal information for as long as your account is active or as needed to provide the Service, resolve disputes, and meet legal and accounting requirements. When information is no longer required, we delete or anonymize it.
8. Security
We use industry-standard safeguards to protect your information, including encryption in transit and at rest, access controls, and regular review of our practices. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise these rights by contacting us using the details below, and we will respond within the timeframes required by applicable law.
10. Children's privacy
Studio accounts are intended for adults. Where a studio maintains records about minor students, it does so as part of providing music instruction, and the studio — not Encore Studio — is responsible for obtaining any consents required from parents or guardians.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the Service or by email before the changes take effect. Your continued use of the Service after an update constitutes acceptance of the revised policy.
12. Contact us
